What is Personal Information and why do we collect it?
Personal Information is information or an opinion that identifies an individual. Examples of Personal Information we collect include: names, addresses, email addresses, phone and mobile numbers. This Personal Information is obtained in many ways including correspondence, by telephone, by email, via our website www.aqm.net.au, from your website, email sign-ups, from other publicly available sources, from cookies and from third parties. We don’t guarantee website links or policy of authorised third parties. We collect your Personal Information for the primary purpose of providing our services to you, providing information to our clients and marketing. We may also use your Personal Information for secondary purposes closely related to the primary purpose, in circumstances where you would reasonably expect such use or disclosure. You may unsubscribe from our mailing/marketing lists at any time by contacting us in writing. Security of Personal Information
Your Personal Information is stored in a manner that reasonably protects it from misuse and loss and from unauthorized access, modification or disclosure. When your Personal Information is no longer needed for the purpose for which it was obtained, we will take reasonable steps to destroy or permanently de-identify your Personal Information. However, most of the Personal Information is or will be stored in client files which will be kept by us for a minimum of 7 years.
Access to your Personal Information
You may access the Personal Information we hold about you and to update and/or correct it, subject to certain exceptions. If you wish to access your Personal Information, please contact us in writing. Australian Quilt Market will not charge any fee for your access request, but may charge an administrative fee for providing a copy of your Personal Information. In order to protect your Personal Information we may require identification from you before releasing the requested information.
Maintaining the Quality of your Personal Information
It is important to us that your Personal Information is up to date. We will take reasonable steps to make sure that your Personal Information is accurate, complete and up-to-date. You value your privacy and we respect that. When you register or sign up to our emails at AQM we need to collect a certain amount of information about you to make registering easier for you and for us. We believe that you have a right to know how we use that information and how we keep it secure. So, we’ve answered the most frequently asked questions below.
What information do we collect?
When you register online or in person for our event, we require to know your name, company name, ABN, email address, mailing address, and phone number. If you are purchasing a paid registration from us, we will also require your billing address, credit card number and credit card expiration date so we can process and fulfill your registration purchase. It also lets us keep you updated on the status of your order. We will provide you with updated event information, schedules, instructions and details regarding your name badge when you attend our event. When you send a request, review or comment to our staff, we may ask you for your email address so we can contact you. When you visit our website, we also collect IP addresses linked to your personally identifiable information to protect you from fraudulent use of your account. We may, from time to time, conduct exhibitor or attendee surveys. When you complete a survey online, we may ask for certain information from you, including your age, job profile information, email information, address or other aggregate profile information so we may learn more about the demographics of people attending our events. Please note that AQM reserves the right to take photographs during the trade show for use in its marketing communications. These images may be used in our various on-line media accounts and printed marketing material.
How do we use the information?
When you register for our event, we use your information to process and fulfill your registration order. We may send you an email to confirm or to update you on our event, as well as reminders, updates and newsletters about attending our events. We may also need to contact you by regular mail, email or phone if we have any questions about your registration or enquiry. When you register for one of our events, your information is made accessible to our Exhibitors/Wholesalers. Since you are also their customers, these partners are very concerned about protecting your privacy and will only use your information as outlined in this policy. In accordance with Australia’s (Anti-Spam Laws), and FOI Act (Freedom of Information Act), we adhere to the policies outlined in these legislations, whereby we do not rent, sell, share, or disseminate your information other than the purposed mentioned in the Privacy Policy. With your express consent, when you purchase, register, complete a survey or participate in any contest or promotion on our website, we’ll use the information you give us to send you email or regular mail about our products, services or other contests and promotions you might be interested in.
Do we share your information with third parties?
We only share your information with our trusted exhibitors upon request. By registering for the event you are opting-in to sharing your information with our trusted third parties. If you do not want your information shared, please contact Gordon Heathcote – details listed above. We won’t sell, trade or rent any of your personal information other than the disclosures described in this policy. The only time we may disclose specific individual information is if we reasonably believe it is necessary to comply with applicable laws or regulations or to protect the interests of AQM, affiliates or its visitors.
How can you access or change your information or unsubscribe to receiving information about new products and promotions from us?
If you want to update your information or remove yourself from any of our email or regular mailing lists, simply call us at (03) 9532 5388. Please note that your request to be removed from mailing lists might take up to seven (7) days to become effective. Even if you’re removed from a list, if you order online, we will send you an email to confirm your order and may need to contact you by phone, email or regular mail if we have questions about your order. There will be an “unsubscribe” option within each promotional email that you receive from us so you can automatically remove your name from our mailing list, if desired.
How do we make sure your information is secure?
We use the latest encryption technology (Secure Sockets Layer, or SSL) to keep your personal information secure. When you contact us, your information is encrypted (or coded) using a secure server for maximum security. This coding makes it extremely difficult for anyone to reach your information as it moves through our system. To check the security of your computer, look at the lower left-hand corner of your browser window. If you see an unbroken key or a closed lock, then the encryption technology is active and the server is secure. You can also check by looking at the URL line of your browser; when you access a secure server, the initial characters of the site address will be “https”. To make sure that your information is secure, we recommend never giving your credit card or personal information in an email; email messages are not secure. Certain browsers don’t allow communication through secure servers. If this is the case, you won’t be able to place an order online.
